The Inn at Firmstone Manor ("we", "us") runs this website for our cottages at 6209 Longdale Furnace Rd, Clifton Forge, Virginia. This policy explains what information the site collects, why, and what you can ask us to do with it.
What we collect
When you send us a message
Our contact form asks for your name, email address, an optional phone number, a subject, your message and, if you choose one, the cottage you're asking about. We also record your IP address and browser type with the message, which helps us spot spam. The message is saved so we can reply, and a copy is emailed to us.
When you book
Bookings are made through the booking form on each cottage's page, which is provided by OwnerRez, our reservation system. OwnerRez collects your booking and payment details directly; we never see or store your card number. OwnerRez handles that information under its own privacy policy, and shares your booking details with us so we can host your stay.
When you browse
We count visits to understand which pages are useful. For each page view we record the page, the website that linked you here, and whether you're on a phone or computer. To tell one visit from another, your browser keeps a random ID that is erased when you close the tab.
We also use Google Analytics to understand how visitors use the site, and the Meta (Facebook) pixel to measure our ads and to show our ads to people who have visited the site. Both receive the pages you view, the cottages you look at, and when you send a message, sign up for our newsletter or start a booking, along with your IP address and browser details. Google and Meta handle this information under their own policies: Google's privacy policy and Meta's privacy policy.
When you sign up for our newsletter
We ask for your email address and, sometimes, your first name, and note the page you signed up on and your IP address. We email you a link to confirm, and only add you once you click it. Every newsletter has a link to unsubscribe, or you can email us. We may send our list to an email service to deliver the newsletter for us.
Cookies
The site sets two cookies that it needs to work: one keeps the site working as you move between pages, and one protects forms from misuse. Both expire within two hours.
Google Analytics and the Meta pixel set their own cookies to recognize returning visitors and measure ads. You can block or delete them in your browser settings, opt out of Google Analytics with Google's opt-out add-on, and control Meta ads in your Facebook ad preferences.
Other services the site uses
To show the pages, your browser loads some content from other companies, which receive your IP address as part of that request:
OwnerRez: the booking form, availability calendar and cottage photos.
Google Fonts: the typefaces used on the site.
OpenFreeMap and CARTO: the map images on our maps.
unpkg: small pieces of code that make the site interactive.
Google Maps: only if you click a "Get directions" link.
Google Analytics and Meta: visit statistics and ad measurement, described above.
The website runs on Staygine, the platform we use to build it, which stores the site and your messages for us on Amazon Web Services servers in the United States.
How we use your information
We use it to answer your questions, to host your stay, to send the newsletter you asked for, to understand how the site is used, to measure and show our ads, and to keep the site working and free of spam. We don't sell or rent your information, and we only share it with the services listed above that help us run the site, our bookings, our newsletter and our ads.
How long we keep it
We keep messages for as long as we need them to help you and to keep records of our bookings, and newsletter signups until you unsubscribe. Our own visit statistics don't identify you; Google and Meta keep their data for the periods set in their policies. You can ask us to delete your messages or newsletter signup at any time.
Your choices
You can ask us what information we hold about you, and ask us to correct or delete it. Email us at inn@firmstonemanor.com and we'll reply within 30 days. To delete booking records held by OwnerRez, contact us and we'll arrange it with them, though we may need to keep some records the law requires.
Children
This site isn't directed at children under 13, and we don't knowingly collect their information. Bookings must be made by an adult.
Changes to this policy
If we change how we handle your information, we'll update this page and the date at the top.
